- 1. When is the Expo Hall open?
- Expo Hall hours are 12:30 to 2:30pm and 4:45 to 6:00pm. Please make sure to advise your onsite staff that if conference sessions conclude earlier than expected, the Expo Hall could open 15-30 minutes earlier than currently listed.
- 2. Does Network World provide lunch for sponsor staff or do we eat on our own?
- Yes, Network World provides lunch for sponsor staff from 11:30am to 12pm only in the Expo Hall. This enables all sponsor companies to eat before attendees enter the hall. The lunch buffet will be closed again at noon to refresh for attendee lunch at 12:30pm.
- 3. Will there be lead retrieval options available at the IT Roadmap Conf & Expo?
- Leads Etc. is the official lead retrieval provider for the IT Roadmap events. Please see the Leads section within the Event Preparation tab for more information.
- 4. Once onsite, where do I pick up the Lead retrieval system I ordered?
- The Leads Etc. service desk will be located inside the Expo Hall along with the Exposition Management Company service desk. In some cases, they may be located along with the main conference registration area. Once onsite, please see Network World staff at the Sponsor Information Desk near the main entrance of the Expo Hall for more details.
- 5. At the end of the show, can I just leave my shipments in front of my booth?
- NO. Please make sure to visit the Exposition Management Company service desk in the Expo Hall to coordinate outbound shipping of all of your materials. This will ensure all of your materials are properly taken care of. Federal Express, UPS etc. do not make automatic pick ups to the Expo Hall area.
- 6. How & when do we place orders for internet access and AV rentals?
- Please see the Internet Access and Audio Visual Rental sections within the Expo Hall tab for your city: Santa Clara, Dallas, Washington, DC. This will tell you when the discount price deadline is as well as include an order form.
- 7. How should I address the boxes I am sending to each IT Roadmap Conf & Expo and when should shipments arrive?
- Please see the Exposition Management Company section within the Expo Hall tab for your city: Santa Clara, Dallas, Washington, DC. This will tell you the deadline date when shipments need to arrive as well as the shipping address.
- 8. What time should the sponsor representatives arrive at the Expo Hall for booth set up?
- Set up in the Expo Hall is from 8:00-11:00 a.m. on the day of the event ONLY. Any supplies shipped to the venue by your company will be in the room by 8:00 a.m. Breakfast and registration begins at 7:30 a.m.
- 9. Where do I pick up my sponsor badge on site?
- Sponsor registration will be located along with the main attendee conference registration area. In certain venues, it may be located near the main entrance of the Expo Hall. Once close to the event date, please contact Karen Bornstein at 508-490-6542 for a specific location.
- 10. Can I swap badges between sponsor staff?
- This event is intended for a limited number of sponsor staff to ensure an appropriate sponsor/attendee ratio. By limiting the sponsor passes, Network World is creating a true buyer/seller environment. We will allow your staff the opportunity to swap badges if necessary for booth coverage. This process can be done at the registration desk. A Network World employee will hold the swapped out badge during this time.
- 11. Can my company rebook for future events on site? Will Network World secure a specific exhibit space in the expo hall for my company in advance?
- There will be a designated rebook area on site where sponsors can
rebook and select booth space in advance for future IT Roadmap Conferences.
Floor plans for each location will be available. Your letter of Intent
will hold your sponsorship for two weeks. Once the rebook date expires,
Network World will contact you to sign an official agreement. If you
opt not to sign a contract, your booth space will be released to another
vendor.
Your Network World sales team is available on site for questions and meetings in the sales suite. Please see Network World staff at the Sponsor Information Desk (located near the Expo Hall main entrance) for the sales suite location. - 12. How soon after the events will we receive our attendee leads?
- You will receive complete contact information for seminar attendees and registrants from each conference via e-mail within five (5) business days after the conference. Please note leads will not be distributed until payment is received, according to the sponsorship agreement.
- 13. Is the sponsor representative required to stay for the entire seminar?
- Yes. All sponsor staff must remain through the end of the day in order to maximize interaction with the attendees. We do not allow sponsors to pack up your display and materials in the meeting room before the event has adjourned. Sponsor staff may not pack up while the presentation is in progress.
- 14. May we use cell phones and/or pagers during the presentation?
- No. Everyone in the meeting room must turn ringers/sound off on all cell phones and pagers. It is disruptive for the presenter as well as the attendees. We also ask that during the presentation, conversations be held outside of the meeting room.
- 15. Is there a limit to the amount of staff who can attend? How should I register my sponsor staff?
- Yes, there is a limit. Each level of sponsorship offers a specific
number of complimentary passes for staff.
Go to the On-site Staff Info page for more information and to register staff for your city. - 16. Does Network World offer a discount for hotel reservations for speakers and on site staff?
- Sponsors are responsible for making room reservations for their speakers and On-site staff. Network World does not qualify for reduced rates nor reserve a block of rooms as most attendees are coming from the local area.
- 17. What is the Passport Program? How can my company participate?
- All attendees to the IT Roadmap event will receive an event passport.
This passport will travel with them during the open expo hours of the
conference. As attendees visit with sponsors and learn about their
products, they will get their passports stamped. During the closing
reception at the end of the conference, attendees will enter their
stamped passports into a drawing for many great prizes! All prizes
are subject to approval by Network World.
