Evaluating Dantz Retrospect for Your Small or Medium Business

Seven key differentiators of the Retrospect product line distinguish it from other solutions offered in the industry. With Retrospect you can:

1. Save Time on Both Backups and Restores – And Get 100% Accuracy
2. Utilize Automation that Simplifies Backup of Desktops and Notebooks
3. Protect Line of Business Applications without Taking Them Down
4. Get the Easiest to Use Disaster Recovery Capability
5. Save Precious Time and Media Space
6. Benefit from Simplified Operation Without Giving Up Advanced Features
7. Get Unsurpassed Security and Safety of Data

#1 Save Time on Both Backups and Restores – And Get 100% Accuracy

Speed and accuracy of backups and restores are key. Dantz Progressive Backup technology is the only backup type that performs optimally in both these measures. Progressive Backup is designed to deliver the best qualities of incremental, ifferential,
and full backups – without sharing their significant problems.

Incremental and Differential Backups: Speed Without Accuracy. Incremental and differential backups run more quickly and take up less space on the backup media than full backups. However, the price for fast backups is flawed restores. Restores from these types of backups aren’t 100% accurate because they incorrectly place deleted, moved, and renamed files and folders back onto the hard drives along with the desired files.

Full Backups: Accuracy Without Speed. In order to avoid flawed restores, businesses shun doing incremental and differential backups. By performing full backups each night, flawed restores are avoided. However, full backups take much longer to perform than incremental or differential backups. This means computers appearing later on the backup list may be starved for backup. In addition, full backups waste precious media space.

Progressive Backup: The Best of Accuracy and Speed. Only Dantz delivers the size and speed advantages of incremental backups while also providing 100% accurate
restores that don’t place undesired deleted, moved, or renamed files and folders back onto a computer’s hard drive. Additionally, Progressive Backup can also be used to bring back older versions of files, archive files to free up space on the hard drive, and create multiple sets of backup media for safety and for offsite disaster recovery purposes.

#2 Utilize Automation that Simplifies Backup of Desktops and Notebooks

Between 40% and 80% of the critical data in a small to medium business resides on notebooks and desktops. Clearly, backing up only the file servers is not a sufficient data protection policy. While other backup solutions can back up client computers over the network, they are often too primitive to do the job well. Retrospect is designed to efficiently and easily back up desktops and notebooks – as well as servers.

Error Prone Manual Methods: Because competing backup solutions lack the sophistication to effectively back up desktops and notebooks over the network, the backup administrator must rely on individuals to manually move files from their computers to the server. Once they are on the server, a server-only full backup will pick them up. Unfortunately, manual placement of files and folders onto a server often happens infrequently if at all, and therefore is ineffective.

Simple, Automated Protection for Desktops and Notebooks. Retrospect is built on the philosophy that it’s as important to back up PCs, as it is to back up servers. As a result Retrospect gives you the most complete and easy to use protection possible against losing data with the Proactive Client Backup system. Computers can be placed into groups that are assigned different priorities and backed up with different frequencies. If there is insufficient time to back up all of the computers scheduled to be backed up, Retrospect will continue where it left off next time it is scheduled to run. This automatic adjustment of backup schedules ensures that no computers get starved from being backed up. Because traditional backup software only uses static sequential backup schedules, the system administrator has to review backup logs and rewrite backup scripts each day to avoid backup starvation.

Essential Priority Backup for Notebooks. Notebooks are often connected to the network at irregular intervals, so they are less likely than desktops to get backed up on a planned schedule. They are also more likely to have the only existing versions of important, new files. Retrospect is built with these considerations in mind. It automatically detects when a notebook connects to the network, and then prioritizes getting it backed up before it leaves.

#3 Protect Line of Business Applications Without Taking Them Down

Another industry first, Retrospect can, through the use of multi-volume snapshots, back up most 24x7 line of business applications such as databases, e-mail, CRM, accounting, ERP, Web sites, and supply chain management applications while they continue to run! These applications typically have related files opened on more than one volume. Competing backup software can only capture opened files on one volume, so they are ineffective at protecting typical line of business applications.

#4 Get the Easiest to Use Disaster Recovery Capability

Dantz Retrospect can create disaster recovery CDs for the backup server. While other vendors require that the disaster recovery CD be created when the computer is alive, Dantz Retrospect can create a disaster recovery CD for a computer that is already dead, as long as there is a server with a CD burner and a tape drive available. Retrospect gathers the data required as a normal part of backing up the computer. The disaster recovery process installs the operating system, restores system settings, and finally restores the computer’s entire hard drive to any point-in-time. Systems with RAID controllers, which require low-level device drivers, are also supported.

#5 Save Precious Time and Media Space

Hard drives hold a lot of data. To optimize backups, Retrospect saves time and space by optimally managing the process of sending files to the backup media.

No Unnecessary File Transfers. Retrospect recognizes identical files on one or more computers and backs up just one copy, while keeping track of all the places that it resides on the hard drives. In this way, Retrospect reduces the number of files sent to the backup media – saving time and space.

Select What Gets Backed Up. Retrospect selectors allow you to back up or exclude files and folders based on multiple criteria, to keep your backups lean and mean. Retrospect comes standard with built-in filters and allows additional custom filters to be created to meet your needs.

Built-in Software Compression. When backing up to devices that do not offer hardware-based compression, Retrospect can use its optional, fast compression routines to effectively increase the overall capacity of the backup media. Retrospect does not waste time trying to compress already-compressed files, such as .JPG and .MP3 files.

#6 Benefit from Simplicity of Operation Without Giving Up Advanced Features

Retrospect provides advanced administration features designed to meet the needs of small or medium-sized businesses that don’t want to become backup and restore specialists or spend a lot of time tending to their backups.

Completely Automated System Adjusts Backup Schedules. With its patented Proactive Client Backup system, Retrospect completely automates the backup of all of the supported computers on your network. Backups can be scheduled regularly, dynamically, or on-call – including priority backup of notebook computers.

No More Backup-Starved Computers. The Proactive Client Backup system automatically adapts to circumstances that occur in your nightly backup window, intelligently starting a new backup session where the previous backup session terminated, and adjusting priorities based on pre-established guidelines. This assures that no computer on your network is ever starved for backup.

Easy for Administrators to Install, Set Up, and Use. With Retrospect, an entire network of computers can be backed up from a single backup server. Retrospect’s detailed reports will show what has been backed up, the time since the last backup, performance data, and any errors that may have occurred. Using password-protected access, these reports can be monitored from any Internet connection. Retrospect automatically recognizes backup devices, saving network administrators from having to load and configure device drivers manually.

Easy For Users to Set Preferences. Individuals can control which of their files get backed up and how much of their local computing resources are used when a backup is being done for their computer. They can also request priority in the backup queue

Easily Locate Files on Backup Media. Powerful search tools make it easy to immediately locate files on backup media for restores, without the need to know on which set of backup media they reside.

Quick Restores – Without Loading Multiple Backup Media. Retrospect will perform restores quickly and easily without the administrator having to figure out which tape to load. It can also restore any amount of data, from a single file to an entire hard drive, to any computer on the network. Additionally, files can be restored to their status at a specified time or all versions of files can be restored. This means you get 100% accurate restores that, unlike those performed with competing solutions, do not replace old files that you have deleted, renamed, or moved back onto your hard drive.

Open File Backup - Retrospect Single Server and Multi Server can back up files on Windows NT/2000/XP machines that are open and being used at the time of the backup. Additionally, for desktop and notebook computers, files such as those that contain email messages or calendar appointments can be backed up while they are being used.

Multi-volume Open File Backup - Retrospect’s unique multi-volume open file backup capability means you can back up line-of-business applications such as databases, e-mail, CRM, accounting, ERP, Web sites, and directories while live and in operation. Competing backup solutions only capture one file at a time, ineffective for applications using more than one volume.

#7 Get Unsurpassed Security and Safety of Data

Retrospect includes several features to ensure excellent data security and safety.

Two Encryption Options. For optimum security, Retrospect can encrypt files prior to them being transmitted across the network and when they are written to the backup media.

Preservation of File Permissions. Regardless of the format in which files are transmitted, Retrospect will always preserve file permissions.

Creation of More Than One Complete Set of Backup Media. Retrospect makes it easy to create more than one complete set of backup media for safety and for off-site disaster recovery purposes. Other solutions require the backup administrator to implement a complicated manual procedure to manage tapes for on-site and off-site storage, such as Grandfather-Father-Son. When the off-site tapes are brought on-site, competing solutions require a full backup to be performed to bring the newly arrived backup set up to date. Retrospect can bring the off-site backup set up to date after it is rotated on-site with an efficient Progressive Backup operation. Further, no complicated manual procedures are required to manage tapes.

Restores to Any Version of Files or Settings from Any Point in Time. Retrospect retains older versions of files, folders, and operating system settings on the backup media so that they can be restored to any version that was backed up at any previous point in time.

Thorough Data Verification and Media Scanning. To assure the safety of data throughout the backup process, Retrospect verifies that data written to the backup media is identical to the original data files being backed up. Retrospect compares the actual bits in the files on the backup media to the originals on the hard drives to ensure accuracy. Optionally, backup media can be scanned to verify data integrity.

Backup Script Pre-Flight Testing. Backup scripts can be pre-flight tested to ensure they will execute properly when scheduled.

Dantz Retrospect Add-ons

Proactive Client Backup
Proactive Client Backup ensures that no computers get starved from being backed up, even if the time required to do the backups exceeds the time allotted to do the backups. This is especially important when client machines such as desktops and notebooks are being backed up. Proactive Client Backup keeps track of which machines it has backed up, so it can resume backups efficiently during the next scheduled backup session, and adjusts priorities based on defined objectives to ensure no computers get starved from being backed up. Notebooks are utomatically detected and backed up whenever they connect to the network. Once this option is installed on the backup server, it works for all the computers being backed up.

Disaster Recovery
Dantz Retrospect can create disaster recovery CDs for the backup server. While other vendors require that the disaster recovery CD be created when the computer is alive, Dantz Retrospect can create a disaster recovery CD for a server that is already dead, as long as there is a server with a CD burner and a tape drive available. Retrospect gathers the data required as a normal part of backing up the computer. The disaster recovery process installs the operating system, restores system settings, and finally restores the computer’s entire hard drive to any point in time. Systems with RAID controllers, which require low-level device drivers, are also supported.

Open File Backup
Multi-volume Open File Backup allows files to be backed up even if they are pened and being used. This is important to ensure proper backup of server applications such as Exchange, SQL Server, customer relationship management applications, and accounting packages, which are up and running 24 hours a day. For desktop and notebook computers, files such as those that contain email messages or calendar appointments can be backed up while they are being used. Once this option is installed on the backup server, it works for all the computers being backed up.

Exchange Agent
Provides incremental backups of Exchange 5.5 and Exchange 2000 servers while they are running. The Exchange Agent can be configured to do a full copy on a particular day of the week or every day. This option provides protection for the Exchange server in the event of a disaster.
